PRIVACY STATEMENT
The Vis East Moot VEMF, Ltd. (“VEMF“) is a Section 88 non-profit, established and existing since 2003 under the laws of Hong Kong S.A.R., with its registered address at The West Wing, Justice Place, Central, Hong Kong S.A.R.
The VEMF is committed to meeting international standards of Personal Data privacy protection as laid out by the Personal Data (Privacy) Ordinance (Cap. 486). We process your data only according to legal requirements. In doing so, we will make sure your Personal Data is kept accurately, securely and used only for the purpose for which it is collected. Nothing in this Privacy Statement shall limit your rights under the Personal Data (Privacy) Ordinance.
Personal data that we may collect and use include:
- Basic information, such as your name, your employer, your title or position;
- Identifying information, including your date of birth and ID card number (and copy thereof);
- Contact information, including your email address, mobile contact, emergency contact number, address;
- Academic information, including your place of study, academic history, year of study;
- Financial information, such as bank account details;
- Technical information, such as your IP address and other information collected from your visits to our website or applications or in relation to materials and communications we send to you electronically;
- Information you provide to us for the purpose of attending any events organized by the VEMF or its sponsors/supporting organizations;
- Any other information which you may provide to us.
As a non-profit organization engaged in fostering communications between its participants and as the organizer of the annual Vis East Moot Competition and other events promoting international arbitration and international trade law, we regularly receive data as part of our ongoing tasks and the fulfilling of the goals of our association.
We may collect your data:
- During the registration process of teams, team members, and arbitrators;
- In the course of the registration process for any of our events and the payment process on our website;
- When you browse or interact with our website(s) or use any of our online services, such as registering and paying for the events organized by the VEMF or its sponsors/supporting organizations;
- When you apply for participation in any of the activities and projects we or our sponsors/supporting organizations offer to our participants;
- When you email us to provide such data to us in other circumstances, such as when you request details about or attend any of the events organized by us or our sponsors/supporting organizations, or when you engage in any other correspondence with us.
If you have given us your express consent, we may process your Personal Data for additional purposes. You may withdraw your consent at any time.
We will specify the intended use of the Personal Data that we collect, inform you of possible disclosures to third parties, and advise you on how you may request access to, correction, or deletion of Personal Data submitted.
You are guaranteed the following rights in relation to your personal date:
- Right of Access: You have the right to access your Personal Data that we hold about you. If the request is manifestly unfounded or excessive, we reserve the right to refuse to act on said request.
- Right to Amend: If we process your Personal Data, we shall endeavour to make sure that your Personal Data is accurate and up-to-date for the purpose for which it was collected. - Right to Erasure: You have the right to deletion of your Personal Data if the reason for its collection no longer exists or if there are other legal grounds for deletion. You can request the deletion of Personal Data by contacting us via email at: [email protected].
- Right to restriction of processing: You have the right to obtain restriction or limitation of processing of your Personal Data, subject to the conditions set out when you register to participate in the Vis East Moot Competition. Personal Data collected will be stored, maintained, processed and used by the VEMF. We are not liable for any information submitted electronically that could be observed by a third party in transit. While we strive to have security measures in place to prevent the loss, alteration and misuse of the information under our control, there is unfortunately no way to completely secure information sent. Nevertheless, we will endeavour to ensure that your Personal Data is kept secure from unauthorized disclosure or access.
This Privacy Statement was updated in February 2025. The VEMF reserves the right to change this Privacy Statement should the need arise.
